There
will be an extensive
advertising and promotion schedule
running in each city beginning two
(2) weeks prior to the event and
building to a very heavy promotion
schedule prior to the show. This
schedule will include television,
newspaper, radio, Internet, outdoor,
PR and event signage.
Balloons
filled with helium or other gases that cause the balloon to rise are not permitted.
Wooden stick attachments to the balloons are not permissible. If you do use
a balloon attachment, you must use the flexible paper type, which is much safer.
Decorations, to add a finishing touch, make your booth even more interesting
and personal. Video screens, posters and unusual display racks are some ideas
you might want to consider. Decorations add flair, increase sales and add
to the quality of the show. All tables need to be skirted with fire-retardant
material; no plastic skirting.
Another feature we strongly suggest to you is carpeting your booth. It defines
boundaries, adds dimension, color and provides a soft cushion between your
feet and the hard concrete floor. It also keeps customers in your booth longer
by making them feel comfortable. Woven grass mat-type rugs, wooden parquet
floor squares or linoleum are other alternatives. You can rent carpeting from
the decorator at the show that will add color and comfort.

Each
booth must be open for business and staffed for the entire duration of the show.
Failure to do so may result in your expulsion from the show and/or not being
invited to participate in any future shows with Belo Expositions.

canopy booths are allowed, but please see Mandatory Exhibit Space Requirements
on page 7. You CAN NOT block the view of your neighbor's booth. You must custom
fit the K.D. canopy booth for a 10' x 10' and/or 20' x 20' booth space.
We
understand that some exhibitors use cash registers for sales tax and inventory
purposes, but we recommend that they be concealed from the public’s view.
- Exhibitors are required to keep their
booths clean and neatly arranged. Public aisles will be swept daily by
the decorator, but this does not include the areas within the booths. Should
you wish to have the carpet in your booth vacuumed at the end of each
day, or if you require your waste basket to be emptied throughout the
day, these additional services can be ordered from Freeman Decorating.
- Exhibitors must make arrangements
to dispose of any shipping crates or other debris created during the
building of your individual displays. You are also responsible for discarding
any waste from dismantling your booth after the show closes.
- For security purposes, all booth personnel
must wear their official exhibitor badge as provided by Belo Expositions.
Company identification may be worn at all times.
- You may enter badge names online.
Instructions and a password will be sent to you after Belo Expositions
receives your signed contract and deposit.
- Exhibitor badges will be issued upon
arrival for set-up. No badges will be mailed or delivered prior to set-up.
You will sign for and receive your credentials during move-in at the
Show Management booth, located in the exhibit hall. They will not be
mailed to you.
- Refer to the accompanying chart for
your allotment of booth credentials. If additional credentials are needed,
you may purchase extra badges at $5.00 each.
- Credentials are to be worn only by
personnel working the booth. It has been our experience that this badge
policy is a great deterrent to theft at the show.
- Bulk space will receive Credentials
based on the amount of square footage that is purchased.
- You will not be allowed to get your
credentials or set up until all financial obligations have been met.

- Show colors: The back wall curtain
in your booth is berry and is 8' high, side curtains are 3' high and teal,
and the aisle carpet is teal. Corner Booths and Island Booths may request
to have the side rails removed by the decorator ONLY. 20' endcaps will have
an 8' high back wall curtain that extends 10', but will drop down to 3'
high curtains and extend 5' on each side of the 10’ curtain or to
the aisles. A 20' x 20' line booth that is exposed to aisles on both sides
will have the same configuration as a 20' endcap, but the curtains will
be configured on both ends of the booth.
- Freeman Decorating will mail each
exhibitor an Exhibitor Services Manual for ordering carpet, electricity,
water, and booth furnishings. Order forms will be enclosed in the Exhibitor
Services Manual. NOTE: There is an early order discount if decorating items
are ordered from Freeman no later than June 25, 2004, for the Austin and
Houston event and August 6, 2004, for the Dallas and San Antonio events..

- There is a significant discount

the exclusive provider of electrical,
phone and water services within its
facilities and property. All electrical,
phone and water services are to
be completed/performed by
authorized personnel..
- No credit will be issued on services
installed and not used.
- Wall outlets and post outlets are not
part of booth space.
- Separate outlets must be ordered
for each booth requiring power.
- An order form for electrical, phone or
water services will be included in the
Exhibitor Services Manual mailed to
you from Freeman Decorating.
- To receive a discount for electrical,
phone or water services, the order
form, included in the Exhibitor
Services Manual must be received
by the electrical contractor no later
than June 25, 2004, for the Austin
and Houston events and August 6,
2004, for the Dallas and San Antonio
events. You may still purchase
electrical, phone or water services
at move-in, but it will not be at the
discounted price.
- All of the convention centers are
extensively hard-wired for Internet
access, and each of them has an
exclusive arrangement with a service
provider. Information and contact
information for these service
providers, the connections available,
and their pricing structure will be
included in the Exhibitor Services Kit
sent to you by the decorator.
- Additional information and order
forms are available in the Exhibitor
Services Kit or online at www.beloexpo.com/gaming/

- Prior to and after show hours, all
Exhibitors MUST enter and exit through the signs marked “EXHIBITOR
ENTRANCE.” Upon entering the Exhibit Hall you will be asked to
show your Exhibit Badge. Exhibitors will be permitted in the Exhibit
Hall one (1) hour before the show opens each day.
- Exhibitors will not be permitted
to remain in the building after closing each night.
- Parking information will be mailed
to all exhibitors prior to the move-in.
- Freight elevator available on first
parking level ONLY.
- All exhibitors are responsible for
following the fire regulations set forth
by the local Fire Marshal.
- Fire proof decorative materials
in your booth.
- Keep all aisles clear, and properly
store all items within your booth.
- No candles or open flames are allowed
within the exhibit hall without a protective globe.
- Any material that does not meet
the Fire Code will be removed at the Exhibitor’s expense.
- We strongly recommend that you
rent your material from the official
decorator.
- All motorized vehicles that will
be a part of a display must be inspected by the local Fire Marshall
before
they will be allowed on the exhibit floor. They must have less than one-quarter
of a tank of fuel, the battery must be disconnected once they are placed
on the exhibit floor and a set of ignition keys must be given to show management.
Contact the Show Director to make arrangements with the Fire
Marshal for the inspection of your
vehicle no later than June 25, 2004,
for the Austin and Houston events
and August 6, 2004, for the Dallas
and San Antonio events.
Each convention center has an inhouse
caterer who handles all food
and beverage sales. No food or
beverage items may be sold (or
sampled) without the prior written
permission of the in-house caterer.
A health permit will be required for
sampling. Additional information

It
is against show policy for any exhibitor to hand out samples, literature, obtain
leads, etc. in the aisles of the show. This activity must be done inside the
booth.
- All booths are required to be set up and ready to open
no later than 8:30 a.m. on Saturday morning for the opening day of each
event.
- Be sure to bring your own dolly or
handcart, as show management does not provide these for exhibitor use.
- Show rules require that all exhibits remain intact until
6:00 p.m. Sunday evening. Any exhibits remaining in the facility after 6:00
p.m. on Monday, (move-out day), will be removed and stored at exhibitor’s
expense.
Belo Expositions has general liability insurance covering
the show. Insurance does not cover the exhibitor’s exhibit, contents,
visitors within the confines of the exhibitor’s leased space, or exhibitor’s
personnel. All exhibitors must provide our office with a CERTIFICATE OF lNSURANCE.
Booth space contracts are not valid until the insurance certificate has been
received by Belo Expositions. Belo Expositions, Inc. must be named as an additional
insured. The minimum limits of liability acceptable will be $500,000 combined
single limit bodily injury and property damage liability, including personal
injury liability and contractual liability.
John Buttine, Inc. will provide event insurance for The
Interactive Entertainment Shows. While Belo Expositions, Inc. does not endorse,
support or require coverage from any specific insurance provider, should
you find
you
are in
need of Expo coverage you may wish to review the Exhibitor Booth and Property
coverage option offered by John Buttine, Inc. Exhibitor
Insurance Program.

- Exhibits are to be arranged so that
they do not obstruct the general view nor hide the exhibits of others.
Booths with specially built displays must have approval prior to set-up.
Plans must be submitted in writing to Show Management.
- Booths come equipped with an eight
(8) foot backdrop, two draped side rails (36” high) and a company
identification sign.
- Unless written permission is secured
from Show Management in advance, back walls including signs, shall not
exceed eight (8) feet in height and they must be free standing. You may
go the height of the backdrop, on the sides of your exhibit, up to one
half the distance from front to back of your booth. The remaining distance
must not exceed four (4) feet.
- Proceed to the Show Management office to check-in and
sign for your credentials.

is the Decorator check-in. If you have ordered electrical, phone or water
services, you will need to verify those items with Convention Services.

to participate in subsequent shows, or may be required to pay additional
deposits.
- We recommend that all exhibitors
moveout Sunday evening. The decorator will begin removing their pipe and
drapes, aisle signs, chairs and tables on Monday morning, and it would be
helpful to have your signs, booth props and all materials cleared Sunday
evening. With so many exhibitors carrying their products and supplies out
of the exhibit hall, neither Belo Expositions nor the contracted security
team will be responsible for any items left in your booth after the close
of the show on Sunday evening.
- If you are unable to remove
your exhibit by 6:00 p.m. on Monday July 19, please notify show management.
Any exhibits remaining after 6:00 p.m. without prior arrangements will
be moved to a secure location by the Henry B. Gonzalez Convention Center
and
will
be stored at the exhibitor’s expense. The Henry B. Gonzalez Convention Center
has the right to retain all unclaimed exhibits, and neither the
Henry B. Gonzalez Convention Center
nor Belo Expositions is responsible for any unclaimed
items.
If
you plan to use items in your booth which produce sound, you must keep the volume
low enough so that your neighbors may freely talk with attendees. Any music
used in your booth must be licensed or approved for public usage.
Other
than designated service animals, no pets are allowed on site. If you have any
questions regarding this policy, please contact Belo Expositions.
The
public address system is used for emergency announcements only.
All
questions, problems and complaints must be brought to the attention of Belo
Expositions show management. Belo Expositions will not tolerate abusive, unprofessional,
or disruptive behavior from any exhibitor or their helper(s).
Any
raffles, drawings, contests, promotional giveaways or similar activity in the
booth area of the exhibitor must be held in compliance with local and state
governing laws. Belo Expositions must be notified in advance of such giveaways
if the prize is not your company product or service. Any promotional prizes
and giveaways must be drawn for at the show. The winner name(s), address, and
phone number must be given to Belo Expositions at the conclusion of the show.
- There will be twenty-four hour security
starting Thursdays at 6:00 p.m. prior
to each expo through Monday at
8:00 a.m. following each expo. We
provide the highest quality
security available, but we do not
guarantee against loss or breakage
of any item(s). Therefore, it is wise to
use foresight and planning when
deciding on when to bring in or take
out display articles.
- Keep all personal valuables in
an area that you can maintain eye contact and in which you are the only
person authorized to be there. Do not keep valuables behind curtains
where people would have access.
- Remember that you are the seller!
Beware of people unfamiliar to you, offering you goods for sale. Exhibitors
who live out-of-town are the people thieves prey upon, as out-of-towners
seldom prosecute.
- Opening and closing times are
for your benefit. Do not expect to enter the exhibit hall early unless
cleared by show management the night before. This allows all exhibitors
to enter at the same time to watch their merchandise.
- Banners and signs add color, are
festive, and give your booth that personalized touch to help you stand
out in the crowd. Unique, attractive signs will help people remember
who you are and where you are located within the show. Absolutely no
hand-drawn marker signs or “sale” signs are allowed. Freeman
Decorating can produce additional professional-looking Signs for your
booth that you can take with you to use at other events.
- Each booth will be identified
for move-in. The booth identification is for move-in and set-up purposes
only. It is small sign and should NOT be used as your company identification
for the public.
City
ordinances prohibit smoking in public facilities and it will be strictly enforced.
Smoking is prohibited throughout the show. You must exit the building if you
must smoke.
Texas
law requires that all merchants be registered as a Texas Retail Merchant in
order to make retail or wholesale transactions in the State of Texas. Contact
the State of Texas Comptroller’s Office at (800) 252-5555, for permit
information. If you sell a product at the Convention Centers you must collect
8.25% in sales tax.
- Only
games rated by the Entertainment Software Ratings Board (ESRB) as EC (Early
Childhood), E (Everyone), T (Teen) or M (Mature) will be allowed in the expo.
AO (Adult Only) rated games will not be allowed. Should you have any questions,
please contact the Show Director at 214-977-4073.
- A color-coded wristband system will designate into which gaming areas
our younger visitors may go without supervision. Belo Expo requests your
support in monitoring your exhibit game areas to comply with the ESRB rating
system.
- Including ESRB content descriptors somewhere in your exhibit space will
provide parents the information they need to better evaluate the games their
children may play. Please support the ESRB by posting the rating symbols
and content descriptors for your games.
